Job Summary
Ultimate Staffing is seeking an Accounts Payable Associate to support the accuracy, efficiency, and compliance of our client's financial operations. This role is responsible for invoice processing, purchase order matching, account coding verification, freight auditing, and preparing vendor payments. You will work cross-functionally with internal teams and external vendors to resolve inquiries and ensure smooth AP workflows.
This position is ideal for someone who is detail-oriented, organized, and comfortable working in a fast-paced, collaborative environment.
Responsibilities

Process accounts payable invoices accurately and efficiently in the accounting system
*
Assign correct general ledger account coding to all invoices
*
Review and match tickets with purchase orders; identify and resolve discrepancies
*
Organize invoices for multiple payment methods including checks, wires, and ACH
*
Respond to inquiries and resolve issues with internal teams and external vendors
*
Research unmatched receipts and support timely resolution
*
Audit freight invoices to ensure accuracy
*
Maintain knowledge of relevant general ledger accounts and internal policies
*
Assist with additional accounting or administrative projects as needed
Qualifications
Education
*
High school diploma or equivalent required
Experience
*
1-3 years of experience in data entry, invoice processing, vendor reconciliation, or supplier file management
Knowledge, Skills & Abilities
*
Exceptional attention to detail and organizational skills
*
Ability to prioritize multiple tasks in a dynamic, collaborative environment
*
Strong interpersonal, verbal, and written communication skills
*
Intermediate proficiency in Microsoft Office (Excel, Outlook, Word); pivot tables preferred
*
Experience with accounting or ERP/database systems (e.g., Lawson M3) is a plus
*
Demonstrated ability to identify and resolve problems proactively
*
Comfortable working in a team-focused environment
